Board, Committee and Volunteer Responsibilities

President
  • See that orders and resolutions of the board are carried out.
  • Sign all leases mortgages, deeds and other written instruments.
  • Send signed copy of approved meeting minutes (reflect votes and decisions of the board) to management company (VA law).
  • Preside at all meetings of the Board of Directors.
  • Point of contact for Attorney (Rees Broome).
  • Correspondence to community.
  • Routinely review monthly management report (MMR).
  • Review MMR Financials.

Secretary
  • Maintain all paper and electronic documents.
  • Monitor Cluster mailbox (1961 Lakeport Way).
  • Maintain and update www.lakeportcluster.org.
  • Point of contact for CBRE – Safeway Shopping Center; noise notification to community.
  • Correspondence to community.
  • Record the votes and keep the minutes of all meetings and proceedings of the board and of the members, in accordance to VA Law and guidelines.
  • Serve notice of meetings of the board and of the members.
  • Keep appropriate current records showing the members of the Corporation together with their addresses and any other contact information provided by the members.
  • Write, publish, and distribute community Resident Directory.

Treasurer
  • Routinely review monthly management report (MMR).
  • Review MMR Financials.
  • Work with the corporation’s managing agent, if any, to receive and deposit in appropriate bank accounts all monies of the corporation and disburse such funds as directed by resolution of the Board of Directors or the adopted budget of the corporation.
  • Review financial account selections (savings, checking, and CD).
  • Point of contact for Auditor.
  • Provide oversight of accounting.
  • Prepare an annual budget and a statement of income and expenditures to be presented to the membership at its annual membership meeting, and deliver a copy of each to the members.
  • Review tax submissions.
Vice-President(s)
  • Manage the Grounds/Common Areas (landscaping, walls/fences, and lighting).
  • Point of contact for landscaping company.
  • Maintain and fill three DOGIPOT (www.propet.org) dispensers.
  • Point of contact for trash company.
  • Point of contact for management company.
  • Point of contact for snow removal.
  • Maintain and update Lakeport Cluster Association Standards.
  • Maintain and update Lakeport Cluster Association Handbook – local rules & courtesies.
  • Act in the place and stead of the President in the event of their absence, or inability or refusal to act.
  • Write, publish, and distribute community newsletter, Ripples.
  • Community Activities.
  • Point of contact for Neighborhood Watch team.
  • Welcome new residents with a gift basket ($30-35), latest Ripples, and a Resident Directory (with Welcome Committee).
  • Represent Lakeport with Reston Association.
  • Represent Lakeport with Fairfax County Department of Transportation (Sidewalk and Bus Stop).
